Whistleblower and Complaint Policy
i. Being and Becoming (henceforward referred to as “the Organization”) is committed to upholding the highest standards of ethical behavior, integrity, and accountability. As part of this commitment, the Organization encourages its members, representatives, and community to report any suspected or actual instances of wrongdoing, misconduct, violation of policy, or unethical behavior that is relevant to the Organization or its operations. This Whistleblower and Complaint Policy is designed to provide a mechanism for individuals to report such concerns without fear of retaliation.
ii. Purpose
- The purpose of this Whistleblower and Complaint Policy is to:
a. Encourage and enable individuals to report concerns.
b. Provide a confidential process for reporting such concerns.
c. Ensure that investigations of reported wrongdoings are initiated promptly, carried out thoroughly, and completed within a reasonable period of time.
d. Protect individuals who make good faith reports from retaliation or adverse consequences.
iii. Reporting Concerns
- Any individual who has a concern regarding suspected or actual wrongdoing, misconduct, or unethical behavior within the Organization is encouraged to report it. Reports may include, but are not limited to, the following:
a. Financial misconduct, including fraud, embezzlement, or misappropriation of funds.
b. Violations of organizational policies, procedures, or applicable laws and regulations.
c. Discrimination, harassment, sexual harassment, or sexual violence.
iv. Reporting Channels for Policy Violation
- Reporting concerns should normally adhere to the following procedure:
a. Contact the Director of People and Operations (people@beingnbecoming.org) to complete the intake meeting, unless another Director is preferred for the intake meeting. If the complaint is about the Director of People and Operations, contact the Vice-President or President (info@beingnbecoming.org) with the subject “Complaint – [Name of Vice-President or President]”. Only the person you specify in the email subject will view the complaint.
b. Document the complainant’s statement and record their contact information.
v. Confidentiality and Anonymity
- The Organization recognizes the importance of confidentiality and anonymity in reporting concerns. The Organization will make every effort to protect the identity of individuals who wish to remain anonymous and report under this policy, unless disclosure is required by law. Reports can be made anonymously, and confidentiality will be maintained to the extent possible, consistent with the need to conduct a thorough investigation.
